Cold Email Best Practices - 2026

How to write conversion focused hyper-personalized and relevant cold emails

Introduction

My name is Shabbir, a 2x entrepreneur having sales experience with 10+ years. I still use cold emails to book 75% of qualified meetings from outbound today.

I’ve sent, received & analysed 628K+ cold emails over my journey. I noticed some common misconceptions around how to write effective cold emails and balancing relevancy with personalization with time investment.

The biggest mistake sales professionals make is trying to be “efficient” by setting up generic email templates and sending them to 2,000 random people.

Why this won’t work

  1. Software’s like HubSpot, Apollo, etc. have made this super simple at a fraction of the cost for everyone. So, everyone has been doing it and your prospects are by default ignoring anything that looks like automated spam.
  2. Of course, you can trick by using subject lines to make open rate look good, but it’s easy to recognize automated emails in a skim. Most of them would ignore it or mark it as spam before even thinking about your offer.
  3. With Gmail and Yahoo announcing new spam policies in 2024, it has become even more difficult. They quickly pick up on spam reports and detect automated emails. (even if you’re sending carefully-drafted emails, you should still buy separate domains to protect your main email reputation and refrain from sending more than 50 emails/day/mailbox).

Things to consider

  1. Set-up DMARC, DKIM, SPF policy to ensure deliverability in the primary inbox of the recipient.
  2. Make sure the email copy is personalized for each prospect and don’t use template style cold emails via sale automation tools.
  3. Set-up & use multiple .com domains and inboxes to send cold emails
  4. Cold outbound is more effective when you use multi-channel approach to contact the prospects like emails, calls, LinkedIn, etc. The more you’re on their radar the more chances of conversion.
  5. Send in plain text format without links, images or attachments. Avoid HTML format.

A) Subject Line

  1. Short subject line (> 5 words)
  2. Creative - Pique curiosity with unique phrasing
  3. Natural - Written in a conversational tone by providing value to the recipient
  4. Avoid using punctuation marks
  5. Not sales-y or spam words like “Quick question for {{firstName}}” , {{companyName}}, etc.

Examples:

Topic: Offering a cold email platform that helps sales team of B2B businesses of all sizes write better cold emails for their newly hired SDR.

Subject line: a) Ramp up SDR b) SDR c) Ramp Up

B) Email Content

  1. Don’t start the email with – I noticed, I saw, I’m intrigued by, I've been following your work on, I'm reaching out to you because, I'm excited to share with you, I have a question for you, etc.
  2. Cut the fluff & get straight to the point – Start with a clear powerful statement that directly addresses the receiver's pain point or challenge.
  3. Less than 75-100 words (Mobile friendly format)
  4. Less of ‘I’, ‘We’ ‘Our’ & ‘My company’ and more of ‘You’ & Your company’
  5. Focusing more on the relevancy of the email content - Explain to the recipient how your product/service solves their problems or improves their lives in concrete ways.
  6. Bonus point if the problem can be quantified
  7. Don’t spam with the product features. Make it about them.
  8. Show Social Proof. Use case studies, proof points, and data-driven results to demonstrate the value proposition
  9. Conversational + friendly tone - Use an active voice, avoid long sentences, avoid using passive voice
  10. Below 6th grade language - Use simple sentences, short words, and avoid technical jargon.

C) Call To Action

  1. Use Soft call to actions in a sales cold email that are less direct. Don’t overwhelm your prospect.
  2. Designed to encourage a potential customer to take a small step towards learning more about your product or service.
  3. Open-ended and non-committal - They don't pressure the recipient to take immediate action but simply invite further exploration
  4. Focus on asking questions or generating conversation - They encourage the recipient to think about their own needs and how your product or service might be able to help them.
  5. They’re an effective way to start a conversation with a potential customer and gauge their interest in your product or service

Examples:

Soft, Value or Interest Based CTAs (YES)

  1. Worth discussing further?
  2. Can I share some case studies?
  3. Would you like to learn more?
  4. Think this might help?
  5. Open to learning more of this?

Hard CTAs (NO)

  1. Are you available for a quick chat?
  2. Could we schedule a meeting?
  3. Can we arrange a quick call?

D) Hyper-Personalization

  1. Personalize in the P.S Section so you keep the email body relevant (first name, company name, job position is technically not a form of personalization)
  2. Personalization based on personal profile for Manager/Director & below level ICP and Personalization based on company profile for Director & above level ICP like VP, Director, CxO, Head of Department, etc.
  3. Do not write generic or fake personalization which is used as a superficial personalization tactic that fails to demonstrate genuine interest in the receiver
  4. Use personalization as a pattern-interrupt and not a fake one.
  5. Don’t use bait and switch techniques if starting your email with a personalized statement (Personalization & Email Body should have connection)
